Events Checklist
Planning an event requires a number of steps and involves staff from many offices across campus. This checklist will help you through the process.
- Funding
- Check that you have adequate funding: Event Budget Worksheet
- Space
- Request a room Please specify any A/V needs on your request
- Contact compserv to confirm A/V at least three days before your event
- Food
- Select caterer and menu: caterering details
or - Plan self-catering: reimbursement details, food safety details
- If alcohol will be served, please review the Alcohol Policy and submit the Alcohol Checklist
- Select caterer and menu: caterering details
- Publicity
- Work with Communications to promote your event
- Contact compserv with details for event webpage
- Contact compserv to create RSVP mechanism
- Send reminders to lists 3 days and 1 day before event
- Presenters
- Arrange lodging and local travel
- Arrange for reimbursement as necessary
- Hosting
- Set up exterior directional signage
- Put out interior signs as necessary
- Create panelist name signs
- Print nametags
- Check in guests
- Distribute bottled water to each panel
